ALL EXECUTIVE BRANCH agencies are required to request an Exchange Online Plan 2 license for a shared, room or equipment mailbox. 

Use this request item for: 

  • Disabled User with mail stored outside of their mailbox (external archive, PST's, etc.) that needs be migrated, but who does not have files in OneDrive for Business 
  • Active Group, Shared, Resource or Equipment Mailbox that has a Large Mailbox (>50GB) 
  • Active Group, Shared, Resource or Equipment Mailbox that requires Litigation Hold (Litigation Hold is required if items need to be discoverable even after being deleted) 

Shared, Room or Equipment? 

  • Request a “shared mailbox” for a group (ex.: a group of people need to monitor and send email from a Commonwealth email address, and reply emails should appear to be from the shared address, not from the individual user; or, you need a shared team calendar). 
  • Request a “room mailbox” for a place (ex.: a conference room, in order to reserve the conference room for a certain period of time). 
  • Request an “equipment mailbox” for a thing (ex.: a vehicle, in order to reserve the vehicle for a certain period of time). 

Please note: shared mailboxes that do NOT require litigation hold do NOT require an Exchange Online Plan 2 license.
